COP28 UAE Catering Portal - Terms and Conditions

When you make a reservation through the COP28 UAE Catering Portal, you agree to accept these Terms and Conditions. Catering services are managed by Mons Hospitality and all payment receipts will reflect this.

You hereby waive, acquit, and release, and agrees to defend and hold harmless, COP28 UAE, its officer(s), employee(s), contractor(s), associate(s), and representative(s) from any responsibility or liability whatsoever concerning any use of the Catering services contemplated by these terms and conditions.

1. Venue Booking

Before making a reservation on the COP28 Catering Portal, it is important to ensure that a booking has been made at a venue in either the Blue or Green Zones. If you have not made a reservation, please contact your key account manager from the COP28 UAE team.

All room bookings will come with a standard catering set up, with any room/venue dressing to be provided by the event organiser.

 

2. Catering Booking

All catering orders need to be placed, confirmed and paid for on the COP28 Catering Portal within the below specified time limits;

·       For events with up to 100 guests, a minimum notice period of 48 hours preceding.

the desired event date is required.

·       For events with over 100 guests a minimum notice period of 72 hours prior to

the desired event date is required.

Reservations are not confirmed until a confirmation notification is received by email once the full payment is completed on the platform.

Dietary substitutions can be made available at time of booking, should there be any specific requests. The total number of persons requiring a substitute option must be clarified during the ordering process.

In accordance with the Expo City Dubai guidelines, all leftover food, which is still fit for consumption will be donated to the Expo City Food Rescue Program. This is a food waste initiative which donates food through a local company, to those who need it.

 

3. Minimum Order Requirements

Under these T&C’s, a minimum guest requirement must be met for various catering and event services, specifically:

·       Minimum for Breakfast Buffet x 20 guests

·       Minimum for Coffee Break x 20 guests

·       Minimum for Canapés x 20 guests

·       Minimum for Set Menu x 20 guests

·       Minimum for Lunch / Dinner Buffet x 20 guests

·       Minimum for Meal boxes x 20 guests

 

4. Payment Options

The User may elect to make payment through the Portal via accepted credit or debit card or via bank transfer (the “Payment Options”). By providing your payment information for any of the Payment Options, the User agree that they will be charged for all fees, as indicated, and the User agrees to keep such payment information up to date.

Upon confirmation of the booking through this reservation application, the User is required to make a full payment of 100% of the total reservation cost in AED (United Arab Emirates Dirhams) currency, using the Payment Options.

Bank transfer - Payment via bank transfer is accepted until 20th of November, after which only the other Payment Options may be available.

Failure to comply with these payment terms, including payment via bank transfer if requested and approved by Mons, at least 10 days prior to the reservation date, may result in the cancellation of your reservation.


Please make sure that the credit or debit card used for payment is valid throughout the whole event and has an expiry date after 12/23. Kindly note that without a valid credit card, your reservation will not be confirmed.
 

5. Cancellation Policy

Catering order cancellations must be communicated, in writing, to the COP28 Catering Portal contact e-mail - [email protected] Refunds will be processed in accordance with the timelines below;

·       2 week prior to event – 100% refund given.

·       1 week prior to even - 50% refund given.

·       Under a week prior to event – no refund given.

Furthermore, any request to modify the reservation date shall be regarded as a cancellation and shall be subject to this cancellation clause. By utilizing this Portal, you expressly acknowledge and agree to the legally binding nature of these terms, understanding that payments are irrevocable, and any alteration to the reservation date constitutes a formal cancellation, thereby obligating compliance with the stipulated cancellation provisions.

6. Alcohol Service

Mons Hospitality will follow UAE law and will not serve alcohol to anyone under the age of 21yrs, or who appears to be under the age of 21yrs. Only a valid passport or Emirates ID will be accepted as proof of age.

No alcohol can be removed from the event venue, all unconsumed alcohol will be taken back by the Mons Hospitality team. Opened bottles will be charged for but unopened bottles will not.

Mons Hospitality are not responsible for the actions of guests and reserve the right to reserve service to any guests who appears to be intoxicated.

7. Equipment Hirer 

Any catering equipment including but not limited to coffee machines, provided on hire by Mons Hospitality shall be the responsibility of the user. In the event of loss, damage, or failure to return the equipment in its original condition, the user shall be liable and obligated to reimburse Mons Hospitality for the cost of exact replacement or repair of said equipment. This includes, but is not limited to, any necessary expenses incurred for restoring or replacing the equipment to its original state.
